  • You may provide your name, email address, and other contact information via forms on our site (e.g., JotForm a HIPAA-compliant, form platform —this data is collected for registration, inquiries, or scheduling purposes).
  • If you engage in healthcare services, we may collect Protected Health Information (PHI) via Charm EHR, a HIPAA-compliant electronic health records platform. Charm EHR complies with HIPAA standards and has a Business Associate Agreement with CCA in compliance with standard HIPAA practices.
c) Mobile Information

If you provide your mobile phone number and opt in to receive SMS messages from us, we may collect your phone number, consent status, message history, delivery status, opt-out requests, and related messaging interaction data.

d) Internal Administrative Systems

We may use business productivity and communications tools to support internal communications, scheduling, and administrative processing.

3. How We Use Your Data

  • Operate, maintain, and improve our website and services (via Google Analytics).
  • Respond to inquiries and communicate with prospective and current clients via JotForm and Charm EHR.
  • Maintain client records and deliver healthcare services responsibly, abiding by HIPAA standards through our use of Charm EHR.
  • Billing claims to clients’ insurance providers in accordance with HIPAA standards and industry standard practices. 
  • Communicate with you via email or phone using Google Workspace.

4. Text Messaging Privacy

If you opt in to receive text messages from Center for Conscious Alchemy, we may send conversational and administrative SMS messages related to general questions, getting started, intake coordination, scheduling, appointment reminders, and basic practice updates.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for help.

We use your mobile number and related messaging data only to support this messaging program, communicate with you, maintain communication records, and comply with legal and carrier requirements.

No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes. We do not sell your mobile number or your SMS consent. We may share limited mobile and messaging data with service providers that help us deliver and support our messaging program, subject to applicable confidentiality, security, and legal obligations.

Text messaging is not intended for emergencies, crisis situations, or substantive clinical care. If you are experiencing an emergency, call 911 or go to the nearest emergency room.

We may use third-party service providers to support our operations, including website analytics, forms, communications, electronic health records, ticketing, scheduling, and related business functions. 6. Third‑Party Ticketing via Humanitix

We use Humanitix to power ticket sales for events like breathwork, meditation circles, and workshops. When you purchase tickets, your personal data and payment information will be processed directly by Humanitix under their own privacy framework. Notably, Humanitix:

  • Never sells your personal data.
  • Stores your data securely with encryption and SOC/PCI compliance.
  • Honors rights to access, correct, or delete your data.

7. Cookies and Tracking

We use cookies for site operation and analytics. You can opt out of Google Analytics tracking by installing Google’s Opt-out Browser Add-on or adjusting your browser settings  .

8. Data Sharing and Disclosure

  • Service providers: We share data with third parties only as needed for service delivery (e.g., Google, JotForm, Charm EHR).
  • HIPAA compliance: If applicable, PHI is handled through a formal Business Associate Agreement with Charm EHR, with contracted insurance providers to process claims, and at a client’s request via signed Release of Information form.
  • Legal obligations: Data may be shared when required by law.

9. Data Security

We implement appropriate technical and organizational safeguards to protect your data. Charm EHR infrastructure follows strict security protocols including access controls, encryption, and disaster recovery plans.

10. Your Rights

Depending on your location and applicable laws, you may have the right to:

  • Access, correct, or delete your personal data.
  • Opt out of analytics tracking.
  • Limit use of your PHI (in coordination with your healthcare provider).
